How it works

Five stages, each one recorded in the database.

The platform is deliberately narrow: it owns everything between the ad click and the confirmed consultation. Clinical intake, charting and treatment records stay in your existing clinical systems.

  1. 01

    Capture

Traffic lands on a clinic-branded consultation funnel. A two-step request form asks only non-clinical contact and interest details, and the page records source, referrer and all UTM parameters automatically.

    • Mobile-first, sub-second interaction
    • Explicit, unchecked marketing consent with timestamp
    • Honeypot and duplicate-submission protection
  2. 02

    Book

If the clinic has availability configured, the prospect chooses a real consultation slot on the spot. Slots come from business hours, duration and buffer settings, and a database constraint prevents double-booking.

    • Configurable hours, duration and buffer
    • Appointment written to the clinic calendar
    • Architected for Google Calendar / Cal.com later
  3. 03

    Work the pipeline

Every lead enters a seven-stage pipeline: New, Contacted, Qualified, Booked, Showed, Won, Lost. Each move writes a timeline entry with timestamp and actor, so nothing is lost between staff members.

    • Assignment, notes and lost reasons
    • Revenue value recorded when a lead is won
    • Full activity history per lead
  4. 04

    Automate follow-up

Rules react to lead and appointment events, queueing texts, emails, tasks and follow-up flags with optional delays. Until a messaging provider is connected, every message is honestly marked simulated.

    • Triggers on creation, status change and bookings
    • Delay steps and per-rule templates
    • Queued / simulated / sent / failed states
  5. 05

    Attribute and report

Campaign spend entered by the clinic or the operator combines with real lead and revenue records to produce cost per lead, cost per booked consultation, show rate and estimated ROAS.

    • Source and campaign breakdowns
    • Clinic comparison for multi-clinic operators
    • No hardcoded numbers anywhere
